Data migration

Move records out of spreadsheets and older systems, checked before the switch.

What is data migration?

Data migration is moving your records out of spreadsheets or an old system and into a new one, cleaned, de-duplicated and checked against the source before anyone relies on them. Done properly, the new system starts with data people trust, and nothing important is lost on the way.

What problem does careful data migration solve?

Years of records in spreadsheets or an old system are messy: duplicates, half-filled fields, different spellings of the same customer. Moving them carelessly carries the mess forward, and the new system gets blamed for it.

A careful migration audits the data first, cleans it, runs trial moves and reconciles each one against the source. The switch happens on an agreed date, with a way back if something isn’t right.

What you get

Clean, structured data in the new system, reconciled against the source before anyone relies on it.

Data migration

What’s included

  • Source data audit

What exists, how clean it is and what actually needs to move.

  • Cleaning and de-duplication

Duplicates merged, formats made consistent and gaps flagged for you to decide.

  • Mapping to the new structure

Each old field matched to where it belongs in the new system.

  • Trial migrations

A copy moved and checked first, so problems are found before the real switch.

  • Reconciliation

Counts, totals and spot checks you can review against the source.

  • Cut-over plan and rollback

An agreed switch date, and a way back if needed.

Who data migration suits

A good fit for

  • Moving off spreadsheets. When the sheet has outgrown the people relying on it.
  • Replacing a legacy system. Getting years of history into something modern.
  • Merging data from several tools. One clean set of records instead of several partial ones.

Probably not the right fit if

  • You have a few dozen records. Re-entering them may be quicker.
  • Nobody uses the old data. Archive it instead of moving it.
  • The new system hasn’t been chosen yet. Decide that first, then migrate once.

How it works

How it works

  1. 01

    Audit

What exists, how clean it is and what needs to move.

  2. 02

    Trial

Migrate a copy, check it against the source and fix the gaps.

  3. 03

    Switch

Final migration on an agreed date, with a way back if needed.

How long does a data migration take?

One dataset is imported and cleaned as part of a core system, which usually takes 6–10 weeks in total. Most of the migration time goes into the audit and trial runs, so the final switch itself is short.

How much does data migration cost?

A core system includes one spreadsheet or dataset imported and cleaned. Extra datasets are add-ons, included in the same fixed quote.

Questions

About data migration

Will we lose history?

No. We agree which history matters and carry it over, or archive it where it isn’t needed day to day.

How do we know the data is right?

Each trial migration is reconciled against the source: counts, totals and spot checks you can review before the switch.

What if our data is really messy?

That’s normal. The audit shows how messy, and we agree the rules for cleaning it, such as which duplicate wins, before anything moves.

Can we keep using the old system during the move?

Yes. The old system stays live until the final switch, and a short freeze on changes is planned around your business.

What if something goes wrong on the day?

The cut-over plan includes a rollback, so you can go back to the old system while the issue is fixed.
