System integrations

Connect the tools you already pay for, so information is entered once.

What is a system integration?

A system integration connects tools you already pay for, such as your website, accounting software, calendar and CRM, so information entered in one appears in the others automatically. Each record has one source of truth, and nobody copies details between screens.

What problem does a system integration solve?

Copying details from the website into the CRM, from the CRM into the accounting software and from there into a spreadsheet wastes hours and introduces errors. A typo in one place becomes a wrong invoice in another.

An integration moves the information for you, in the order it should happen, and tells someone when something goes wrong, rather than failing quietly.

What you get

Systems that share information automatically, with one source of truth for each record.

System integrations

What’s included

  • Integration mapping

Every tool involved, what each one should own and how information should flow.

  • Two-way sync where it’s needed

Changes in either system kept in step, without overwriting the wrong one.

  • Event-driven and scheduled updates

Instant where it matters, scheduled where that’s more reliable.

  • Error alerts and logs

A record of every sync, and an alert when one fails.

  • Testing with real data

Each connection tested with your actual records before it goes live.

  • Documentation

Every connection written down, so another developer can follow it.

Who system integrations suit

A good fit for

  • Businesses using several separate tools. When good tools don’t talk to each other.
  • Teams doing double data entry. Hours a week spent copying information across.
  • Owners who want accurate reporting. Numbers that agree because they come from the same place.

Probably not the right fit if

  • A ready-made connector already does exactly what you need. Use it.
  • One of the tools has no API or export. We’ll confirm what’s reliable first.
  • You’re about to replace one of the tools. Integrate the new one instead.

How it works

How it works

  1. 01

    List the tools

Every system involved and what each one should own.

  2. 02

    Connect

Build and test each integration with real data.

  3. 03

    Watch

Alerts and logs, so a failed sync is noticed and fixed quickly.

How long does a system integration take?

It depends on the tools involved and how good their APIs are. One integration is included in a core system, which usually takes 6–10 weeks. For an integration on its own, we confirm the timeline in your fixed quote once we’ve looked at the systems.

How much does a system integration cost?

One integration is included in a core system, and extra integrations are add-ons. Subscriptions for the tools being connected stay with you. You get a fixed quote after a free 30-minute call, before any work starts.

Questions

About system integrations

What if one of our tools changes its API?

Integrations are monitored, and changes by third-party providers are handled as part of ongoing support, so a change shows up as an alert rather than missing data.

Can you connect tools that aren’t designed to work together?

Often, yes, through their APIs or exports. We confirm what’s reliable before building.

Will this mess up our existing data?

Each connection is tested with real records first, and we agree which system wins when two disagree, so nothing is overwritten by surprise.

How is this different from Zapier or Make?

Ready-made connector tools are great for simple, one-way steps. A custom integration suits two-way sync, business rules, larger volumes or tools those services don’t cover.

What happens when a sync fails?

It’s logged and an alert is sent, and the integration retries where it’s safe to, so problems are fixed before they compound.
